02 · Cash flow

You're making a profit on paper and still can't cover the wages.

The money's coming, just not when you need it. There are three things we do that get it in your account sooner.

Three of the things Alacer can do to put money in your bank account sooner

  1. Vouchers. Someone buys a £100 voucher in November. You cook the meal in March. You've had their £100 in your bank for four months. They bought it on your website, so no voucher company took a fee.
  2. Memberships. Easy if you've got a gym, a spa or a golf club. But you don't need one. A whisky club that meets once a month does the same job. Members pay by Direct Debit, so the same amount goes in on the same day every month.
  3. Stock. Order more drink than you sell and you've paid for stock you don't need yet. That's money you can't get back until it's sold. Alacer counts it as it goes, so you only order what you need.

“The stock system linked to EPOS has saved us at least £300-400 per month by not having to do manual stocktaking.”

Frequently asked questions

Straight answers before you book

How do gift vouchers help with cash flow?

Because you're paid months before you deliver anything.

Someone buys a £100 voucher in November for a meal you cook in March. That's £100 in your account for four months, right through the quietest part of the year, against a cost you haven't had to pay yet.

Sold through your own website there's no commission, so the full amount arrives. Every outstanding voucher is tracked from sale through to redemption or expiry, so you always know how much of that money is still owed in food and drink.

What is hospitality stock control software?

Hospitality stock control software counts what you're holding against what the till has sold.

Order more than you shift and you've paid for stock that sits in the cellar. That money isn't available again until it's sold. The system tracks what goes out as it goes out, logs waste and transfers, and tells you what to reorder so you're not buying what you already have.

It also removes the manual count.

What is subscription membership software?

Subscription membership software collects a recurring fee from members and keeps track of who's paid.

Members pay by Direct Debit, so the same amount arrives on the same day every month whether they come in or not. That's one line on your books you can plan around.

You can run unlimited types and tiers with different pricing on each. Renewals are tracked so nobody lapses without you noticing, and extra purchases can be added to a member's monthly fee rather than chased separately.

Can software tell you whether you'll be able to pay the wages?

No, and anything claiming to is overreaching.

Alacer shows you what you're taking and what's left after costs as it happens, what's already booked for the weeks ahead, and what you've got tied up in stock. That's more than most venues can see at all.

It doesn't forecast your cash position or warn you before a wage run or a VAT bill. That job stays with you and your accountant.
