06 · One system

Three pints at the bar. Not one of them made it onto the room bill.

That happens when the bar, the restaurant and the rooms are on different systems. It's also why you're paying four software bills and ringing four helpdesks.

One system, so nothing goes missing

A guest drinks at the bar, eats in the restaurant, and books a treatment for the morning. That's three departments. Put them on three systems and someone has to join it all up before checkout. Some of it won't get joined up.

  1. The bar reaches the room. Every charge goes on the room bill on its own. Nobody types anything twice, and nothing gets missed when they settle up.
  2. One record for each guest. What they ate, what they drank, what they booked, what they cancelled. All in one place, so whoever's on the desk knows them.
  3. One bill, one number to ring. One supplier instead of four. Upgrades included. When the till goes down mid-service you ring one UK helpdesk, open 7am to 11pm, every day of the year.
  4. No more manual stocktakes. Stock is counted against what the till sold, so nobody spends their morning in the cellar with a clipboard.

Frequently asked questions

Straight answers before you book

What is a hotel CRM?

A hotel CRM is the record of who your guests are and what they've actually done with you.

Not just their last booking. What they ate, what they drank, which treatments they had, what they spent, what they cancelled, and whether they've stayed before.

In most venues that history is split across the booking system, the till and the spa diary, so nobody has the whole picture. In Alacer it's one record, and whoever's on the desk can see it while the guest is stood in front of them.

Can an EPOS post charges to a hotel room bill?

Yes, if the till and the property management system are the same system.

A guest orders at the bar, gives their room number, and the charge goes onto their room account without anyone writing it on a pad or typing it in twice. Same for the restaurant, the spa and the function room.

Where the till is a separate product, somebody has to move those charges across by hand before checkout. That's where things get missed, and a drink that never reaches the bill is stock you've already paid for.

Which suppliers offer an all-in-one PMS, CRS and CRM?

All-in-one should mean the property management system, the booking engine and the guest records run off one database, rather than three products stitched together with interfaces.

Alacer is one of them. Rooms, restaurant, bar, spa, events, memberships, payments and stock on the same data, with sixteen modules you switch on as you need them.

The thing to check with any supplier is whether all-in-one means one system or one company selling you four. Ask where the guest record lives, and whether a bar charge reaches a room bill without anyone typing it in.
