Hotel software for independent UK hotels and groups.
A hotel can be seen as several businesses in one building. You've got rooms, a bar, a restaurant, functions, maybe a spa and a shop, and it's been normal for all of that to run on six to twelve separate bits of software. So each guest's story gets split between them: the room in one, the dinner in another, the treatment in a third, and seeing the whole picture means jumping between systems, or settling for the parts that happen to connect. Bills go missing in between, and there's far too much admin holding it all together.
Run more than one hotel? It all scales across the group: guests recognised at every site, charges between sites handled automatically, and reporting across the whole business, even where each site is a separate company.
Built as one, not bolted together
You’ll hear a lot about building your ‘tech stack’. We’ve yet to meet a hotelier who went into hospitality to manage one.
When other suppliers say they do everything, they often mean everything for one part of your business, or a set of products they’ve bought or connected to through third parties. You end up paying for several systems, and sometimes for another one just to make them work together, often with commission on top.
Alacer was built from day one as the antidote to all that. Your rooms, bar, restaurant, spa, events, payments and guest engagement work as one, with one contract, one team to call and one journey for your guests.
It’s also why our AI does something useful rather than just sounding clever. Ali, our AI receptionist, answers calls and takes bookings using live availability for your rooms and tables, because it can see the whole hotel, not just one system’s slice of it.

Book a call ↓What that means day to day
When the whole hotel works as one, three things change. You know every guest, the operation runs smoothly, and every number is in one place. Here are just a few examples.
One guest record
Every stay, meal, drink, treatment, preference and engagement recorded against each guest, so your team know who they are and what they are likely to want next.
When it's personal, upselling is just great service
Every hotel has a check-in script that says offer dinner, offer the spa, offer the upgrade. Guests can tell.
With Alacer, one guest record shows what they booked, what they ate and drank, their dietary requirements, requests and preferences, and whether it’s their anniversary or birthday. Your team can see what wine they drink and when they like to eat, so upsells become personal service. It’s the CRM you’d otherwise pay for separately, right there in the Alacer PMS.
Bring them back with a personal invitation, not a mailshot
A quiet night coming up in the restaurant? Send a last-minute offer to guests who live nearby. Holding a wine tasting or launching a new menu? Invite the guests you know will enjoy it. Birthday or anniversary on the way? Invite them back to celebrate it with you again.
With Alacer you know everything your guests have booked, bought or told you, so every email is a personal invitation they want to read, not another mailshot from a hotel brand they once stayed at. Treat them like a regular, and they’ll become one.
One operation
No ‘tech stack’ or integrations to maintain or pay for, and you’ll never be ‘piggy in the middle’ when systems stop talking. Reception, the bar, the restaurant and event teams all see the same picture, so the guest gets one joined-up stay, one bill and nothing falls between the cracks.
The package does the maths, not your team
With separate systems, dinner-inclusive packages can mean the restaurant has to check who’s staying, what package they’re on and what’s included, then post residents’ charges differently. More work, more hassle, more room for error.
With Alacer, you build the allowances and restrictions into the package. Your restaurant team uses one process for everyone: ring it through and post it to the room, instantly and in full detail. The package absorbs what’s included and charges for anything else, so the guest checks out with one itemised bill that’s always right.
Drinks at the bar, dinner at the table, one bill
Their table’s still being cleared, so the party waits in the bar with drinks and menus. With a separate table diary and POS, the bar opens one tab, the restaurant another, and the drinks tab gets forgotten.
In Alacer, your table reservations are on the POS, so the bar posts drinks straight to the booking and they’re already on the bill when the party sit down to order food. Our customers regularly tell us their food and drink revenue goes up after switching, much of it money that used to slip through the gaps.
Your residents can always get a table
A restaurant that’s popular in its own right can sell out online, leaving you with rooms sold and nowhere to seat the guests staying with you.
Alacer’s restaurant diary knows who has a room booked, so you can hold availability for residents. Someone booking just a table might see a service as full, while a guest booking a room can still add their table in the same basket, with one payment. If the rooms don’t sell, those tables can be released automatically at short notice, so you never undersell the restaurant.
Every call answered, every booking taken
Ali, our AI receptionist, can take every call or just the overspill. It answers the usual questions about rooms and menus, takes bookings against live availability, sends payment links for any deposits and confirmation emails, and passes anything it can’t handle to a person.
Ask us how Ali took £3,500 of new bookings for one site in its first month, all of which would otherwise have been lost.
One set of numbers
From detailed analysis of total spend per occupied room to reporting on spend per head in the restaurant and your best-selling F&B lines. Everyone is working from the same system with automated email reports, KPI dashboards and no lost or double-counted revenue.
Let finance do finance
With separate systems, the accounts package is often the only place all your numbers meet, so it ends up doing the reporting too. The chart of accounts grows to cover every detail, and the people who should be chasing debtors and invoicing events are building spreadsheets and reconciling ledgers.
With Alacer, reporting comes from the system that holds the detail. Your GM sees the whole week across every department, each team gets its own reports, and finance keeps a nominal structure no more complicated than the board wants to see. Set up your chart of accounts once, and the month-end sales journal goes straight into your accounts package.
Numbers in time to do something about them
In hospitality, a table or room you don’t sell tonight can’t go back on the shelf for tomorrow and a missed opportunity is gone forever, so a report telling you last month was quiet comes too late.
Alacer’s intelligent pace reporting tracks future performance against last year with the same lead times, highlighting trends and gaps while there’s still time to adjust rates or run a promotion. Dashboards show each department how it’s doing, and the right reports land in the right inboxes every morning. It can make the difference between a bad month and hitting target.
“Alacer is an expertly thought out system, with a bespoke service & approach from day one. This is backed up by knowledgeable and customer focused staff, allowing the technology to talk for itself.”
